Lake Nona Art Festival Set Up Information

Welcome Artists!

Here are your SET UP INSTRUCTIONS:

PASSES: You Do NOT need to “Check-in”. We will provide you with your Booth Card when you enter at the Entry Point. You can find your booth space HERE.

TRAFFIC FLOW: ALL vehicles will enter ONE ENTRY POINT at Veterans Way and Chopra Ter. (GPS 13485 Veterans Way Orlando, FL 32827) Plan your route in advance. Follow the green arrows on your MAP. You may need to drive around again to get to your parking area. Do not back up.

LOAD IN TIME: Exhibitors can load in any time after 2PM on Friday. You can unload directly at your booth space. If at all possible, be courteous and move your vehicle to parking after unloading your vehicle to alleviate traffic.

Exhibitors with booth spaces starting with B: Unload next to your booth instead of in front of your space.  There is 8′ between booths in this area and you should be able to park nose or rear in next to your booth for Set up and for breakdown on Sunday. Keep a passing lane open for other vehicles to get by you.

SPACE LOCATION: When you reach your designated booth space area, there will be an identifying marker with your number on it, most likely chalk or tape. This marker will represent the center back of your booth space.

PARKING: Parking is easy and plentiful for everyone.  Proceed back to the Entry point if you passed the entrance to the ARTIST PARKING. You can also park in the Parking garages indicated in Blue on the map but note there are height limitations. All trailers need to park in the Artist Parking area.

WEIGHTS: Bring proper weights to secure your tent for up to 40 mph wind gusts.

ARTIST AMENITIES: There will be an Artist Welcome Reception at 5:30PM on Friday in the WAVE Sculpture Garden with charcuterie, refreshments, and cash bar. You may bring +one guest.

The ARTIST LOUNGE will be available all weekend for coffee, water, snacks, and bathroom. It is located next to Bosphorous.

AWARD CEREMONY will be held at 8:30AM in the WAVE Sculpture Garden. You can walk through the Wave Hotel lobby to get to the garden. Ribbons will be given on site and checks will be mailed on Monday. W-9’s will be required for cash awards over $600.

BEST IN SHOW ARTIST will be judged for overall body of work. It is the desire of Lake Nona Art Festival to acquire artwork representing each year of the event moving forward. A separate selection committee will discuss and decide on a piece to purchase for the $10,000 award if that option is chosen.

SUNDAY BREAKDOWN: The event ends at 4PM on Sunday. DO NOT BREAK DOWN EARLY. Breakdown as much as you can and proceed to your vehicle. Enter the event area the same way you did for set up. Do not drive against the traffic flow.

As an inaugural event, we hope to experience very few glitches. Be nice to the volunteers. I appreciate you taking a chance on this event and I wish you all a smooth and prosperous weekend!

If you have any questions or concerns before or during the event, you can text or call me: (352) 217-8390 –Janet Gamache
